Instead of sharing the folder or files with multiple individual users with the same permissions, using groups can be useful.

In this tutorial we show you how to create a group and how to share with it.

Tip

An advantage of sharing by using custom groups, is that you can set the permissions for the whole group at once.
All members of the group have the same permissions to access the data.

Create a group

Step-by-step

1. Before you can share a file or folder with a group, you have to create a custom group.
To create a custom group, go to 'Settings' in the right top corner. Next, click 'Custom groups in the left corner.


2. Click 'Create group' and choose a name for your group. In this example, the name of my group is 'students'.


3. At the left you can add members to the group. In this example, I add student Sanne to the group 'students'.
Note that people must have a Research Drive user account in order to add them as member of a group.

Invite new users

When the person you want to share files with does not have an account yet, you can easily invite this person via the Research Drive Dashboard.


4. After creating your custom group, go back to your files in the menu (left top).


Share a file or folder with a group

Step-by-step

1. Click on the three dots after the folder / file which you want to share, for the option "Details". In the "Details" view you can go to the "Share" tab.


2. You can search for the group by typing in the first letters of the group name. All users and groups that start with these letters will be shown in an overview. You choose the group to share with by clicking it.


3. You will now get a number of options for sharing: can share / can edit.
Under the option 'can edit' you can click the arrow for more detailed options: create/change/delete.


4. You can stop sharing the folder or file by clicking on the trash bin icon.
